Arrowhead Riding Club

o   If fines that are not paid within the year, the club member is not in good standing for the next year. Fines will be issued to those who do not attended mandatory workdays.  

o   Fines for 2019 where $50 dollars for not showing up to help run the roping. It was proposed in 2020 that fee will increase to $100. The ATRCA Board Members will manage the events and work details and it will be texted to all those in the club.

o   Opening five guest spots to potential members.  These 1-year guest privileges will allow them to use the facility, cows, sled, attend ARC roping’s and such. However, they will not have voting rights but subject to the rules in the bylaws.

o   The cost will be $1,200 and the spots to be  voted on by the members.

·         ACTRA and ARC roping - David Haskell

o   The discussion to move inner club night to Monday, this was discussed to increase participation.  Prizes where great.

Arrow Head Riding Club Minutes from 1/31/2021

·         Improvements- Randy B

o   For 2021

§  Arena Project: Cover roping boxes and update the crow’s nest. Permit has been approved by the county. Materials have been ordered.§  Spray weeds in the Spring

§  TBD (fuel tank and fuel cell)

§  Fixed fences by cropping panels

§  Mini-X was used to work on leveling out and doing work on the arena.

§  Power and Electrical work

§  4-Wheeler is still getting worked on from previous damage

o   In 2020 upgraded the water truck and sold the old one. Net club expense was about $750 for the new water truck

o   For 2021 to cover the arena project there will be a special club assessment that will not exceed $250

o   Look to continue the five leased spots to potential members.  These spots will be filled by membership vote at the spring meeting

o   Discussion about possible putting on additional ACTRA jack pots.

o   Discussion on calls and interest from outside individuals and/or entities on wanting to rent the arena. Did have two events in 2020 that were primarily COVID related and not looking at renting the facility.

o   Thanks to the Ballard’s for feeding the steers  

o   Use of the facility this past year was higher than normal due to COVID and the wear on equipment and other expenses were slightly higher.

o   Spring meeting will look to have a discussion on some verbiage within the current Bylaws.

o   Had discussion on the moving of inner club night to Monday, this was discussed to increase participation. There was great turn out for the Monday night inter club roping this past year. Will likely look at keeping on Monday night for 2021.

Arrowhead Riding Club Minutes from 1/16/2022

 ·         2021 Review. Completed some big projects this past year

·         Arena Cover and electrical work - Thanks Cam and Brett, total approximately $38,000

·         Sprayed and cleaned up thistle around the property - Thanks Chris Hanks and Bryce Davis

·         Fixed up roof on the clubhouse - Thanks Hayden Barber

·         Hauled off garbage from clubhouse clean up - Thanks Brock Bench and Dave Hood

·         Cleaned up barbed wire from property - Thanks Jentry Youd

·         Thanks to the Ballards for feeding and watering steers

 For 2022

·         Install new divider fence behind the arena cover and crows nest

·         4-wheeler is at Kenions for storage service and minor repairs

·         Replacing bearings and fixing hydraulic leaks on the black widow

 Randy - Proposal to end holding ACTRA jackpots for 2022

·         Hard to get members to come and help support the jackpots that raise money for the entire club that have allowed us to keep dues low and pay for special projects.

·         Could allow us to cut 5 steers out of the lease to reduce costs.

·         *Members in attendance voted in favor of this proposal.

 Randy - Proposal for a service project rule for members of the club

·         Members will be required to work on projects throughout the year as directed by the presidency and board of directors. 

·         Members who refuse to complete projects as directed will be put on a membership[ probation for 1-year.

·         If a member has 2 strikes in failing to complete service projects as directed they will be removed as an Arrowhead Riding CLub Member. 

·         *All members in attendance of the meeting voted in favor of this proposal

 Randy - Motion to increase 2022 dues to $550 per member up from the current $350 per member

·         Costs for operating items have continued to increase and dues have remained the same amount for close to 10 years.

·         Bryce Davis 2nd motion to increase dues to $550 per member in 2022, all in attendance voted in favor of the increase

·         2022 dues will be $550 per member.

 Randy - Will continue to offer the 5 spots for 1-year “members” who will have similar access as club members, but no ownership or voting rights. 

·         Several discussions on keeping the price at $1,200 per spot or looking at an increase. 

·         It was proposed by Cody that the 1-year spots will be set at $1,500 per person for 2022.

 Randy - Opened up discussion for members children who are over 21 when there are no open spots available. Several ideas were thrown around, but will make a decision regarding this matter at a later date.

 Financials - Brad B

·         Starting bank balance as of January 2021 was $8,884.40 and ending balance for 2021 was $3,420.77. Had a negative net income of ($5,463.63) for 2021, but we have done several large projects that were made possible by special assessment and jackpot income.

·         For 2022 will look into a prepaid fuel account with Westring Oil

·         Bryce Davis will no longer be on the board as the ACTRA coordinator with the proposal of no ACTRA Jackpots in 2022. Thanks to Bryce for his help and hard work

·         Burke Ballard will be in Year 2 in 2022.

Steers- 

They are going to be tough to find this year, but have some leads to work with, could lease from same guy as 2022

   -Cattle- Bryce, Cody, Chis

 2023 Projects -

 Pipe Fence

  -Underneath crows nest and between north and south pasture

  -Archway - Rader will be responsible to make sure it gets done 2023

  -Crows Nest - finish windows, look at cutting out cross braces 

  -Water Trough - build up somehow to not be a mud hole

  -Spanish Fork City surplus sale on a black widow, keep an eye on

 Repairs -

   -Black Widow needs a rebuild

   -Water Truck 

   -Tractor needs new clutch

  -Clubhouse - roof has been worked on, but still needs some work

 Weed Control -

So far been a wet year that will lead to increase in weeds and cheat grass,  need to make sure to get it fled off before heads out. 

 - no outside feed to be brought in that has fox tail, causes lots of issues

 - Chis has a large mower that could help keep it cleaned off in spring

 1-Year Membership-

  - Discuss offering 5 total 1-Year memberships spots - no issues with anyone that was in last year.

  - All in favor to keep offering the 1-Year membership spots to 5 people

  - Age of 1-year and other members kids to rope (kids can rope until they turn 22)

 Intern

  -Brennan Orton was the 2022 Intern, may have him again in 2023

Dues for 2023 are $550 per member

1-Year membership dues are $1,500 each

·         The 2024 ARC Annual Meeting was held on January 28, 2024 at the Arrowhead Vet Clinic

-Randy Burnham called the meeting to order at 7:05 and welcomed everyone that was there and thanked Mike for letting us use his facility for the meeting.

-Honorary Member buckle presentation was conducted for the 25 year members for: Randy Burnham, Josh Dansie and Monte Coburn

- The financial summary of the club was presented by Brad

- The taxes for the club were filed by Randy

- PROJECTS/REPAIRS 2023: Replaced the clutch in the tractor, finished some fencing and fixed the archway, spray weeds (thanks Chris & Nick), Fuel Pump replacement, leveled the arena.

-PROJECTS/REPAIRS 2024: Arena Lights (A few are in need of bulb replacement)

-CATTLE: 2023 steers were leased from Cole and they were great. Kept good feed and plenty of protein in front of them and they were strong through the year, will use Cole again for steers this upcoming year.

-Thanks to Brenan for keeping the steers fed throughout the year

-Thanks to Dave and his family for doing an awesome job on the inter-club ropings

-Thanks to Brad for keeping up on the financials for the club

-Bylaw Update: a member's son can rope under fathers membership until up to 21 years of age, after that they can pay dues and continue to rope until a membership spot becomes available.

-1-Year Memberships 2023: There were 5 spots that were filled in 2023 and are a good addition to the club. No issues reported

-2024 Proposal to Generate Club Momentum and Participation

  - Currently a large portion of the current club members are not actively participating in inter-club ropings or even coming to the arena.

   - Look to hold inter-club saddle series ropings (potentially 2 separate series with specific details, TBD by presidency and board) and hold inter-club ropings on Monday nights.

    - Add a couple of additional 1-year membership spots and offer all spots at a $1,000 buy in as opposed to $1,500. Will offer around 7-8 membership spots and the 5 current members have a first right to continue membership, motion made and approved 

    - Motion and approval to purchase a new jackpot software system

The 2025 ARC Annual Meeting was held on February 16, 2025 at the Arrowhead Vet Clinic

-Randy Burnham called the meeting to order at 6:35 and welcomed everyone that was there and thanked Mike for letting us use his facility for the meeting.

-Honorary Member buckle presentation was conducted for the 25 year members for: Jed Corless, Brett Davis, Sam Lunceford and James Sullivan.

- The financial summary of the club was presented by Brad

- The taxes for the club were filed by Randy

- PROJECTS/REPAIRS 2024: Equipment Maintenance, Speakers, Water Tank, Roping Boxes. (Thanks to Tim, James and Matt). Landon Hanks cleaned up trash and hay strings, Jace Hanks drug the pastures, Bryce Davis leveled and rolled the arena to shed water during the winter.

-PROJECTS/REPAIRS 2025: Finish closing off crows nest, look at possibly doing an overhaul on the blackwidow 

-CATTLE: 2025 steers were projected to be tough to come by for lease, the club was in a great spot financially to jump on an opportunity to purchase 25 head and they are already at the arena. Will look to resell them at the end of the year, need to make sure we take good care of them.

-Thanks to Brenan for keeping the steers fed throughout the year. For 2025 Luke Hanks will be the intern and take charge of feeding and watering the steers.

-Thanks to Dave and his family for doing an awesome job on the inter-club ropings, had great participation during 2024

-Thanks to Brad for keeping up on the financials for the club

-Bylaw Update: a member's son can rope under fathers membership until up to 21 years of age, after that they can pay dues and continue to rope until a membership spot becomes available.

-Bylaw Update: When a member is selling a horse a nonmember can be brought to the facility to try it, but do not abuse this privilege.

-1-Year Memberships 2024: There were 7 spots that were filled in 2024 at $1,000 and are a good addition to the club. No issues reported.

-Motion for 1-Year Memberships for 2025- due to increased cost of purchasing steers motion was passed to keep (7) 1-year spots with an increase in the dues to $1,500. (passed)

- Chad Coburn wants to have some interaction between roping clubs in the area by having some competitions between Arrowhead, Santaquin and Genola clubs.

- Members mind speaker volume and music when utilizing the facility. We need to be a good neighbor to those around us.
